𝟮 Review the Numbers

Once we align on the basics, you’ll receive a straightforward estimate. Clear numbers. Honest assumptions. Anything you should know upfront. No formal documents yet. Just a simple estimate you can react to.

𝟯 Prepare the Trip Brief

Once pricing and direction are confirmed, we prepare a concise, shareable Trip Brief. It covers the itinerary, trip cost, payment structure, and key policies. Everything a family needs to confidently say yes.

𝟰 Open Enrollment

With the Trip Brief in place, enrollment opens through WeTravel, a secure platform where students and families can register and make payments. Every Retki program is private. No shared groups. No combined schools. Trips require a minimum of eight students to run. That's it. You'll receive regular enrollment updates so progress stays visible.

𝟱 Plan the Trip

Flights secured. Hotels confirmed. Reservations coordinated. This is where the pieces come together. Some choices shape the rhythm of a trip. Tour the Bernabéu or spend a half-day at El Escorial? Explore more of Museum Island or free time at KaDeWe? Spend the afternoon in Èze or relax in Villefranche-sur-Mer? Your input drives those decisions.

𝟲 Prepare for Departure

Three to four weeks before departure, we host a pre-departure meeting with you, your students, and their families. If you prefer to lead it yourself, we provide materials instead. We cover logistics, packing, safety, insurance, expectations, contingency plans, and any questions families have.

𝟳 Run the Trip

By departure, everything is in place: final documents, confirmed reservations, and a clear communication plan. Your group travels with the support model agreed on during planning. For most groups, that means teacher-directed travel with local experts built into the itinerary. When additional in-person leadership is arranged, that support is part of the plan from the start. Throughout the trip, you’ll have direct access to Retki. If something unexpected comes up, we work directly with suppliers and local partners so you can stay focused on your students.

𝟴 Close the Loop

Once the group is home, we reconcile the trip budget against the original estimate. You'll receive a clear summary of final costs. If the trip comes in under estimate, remaining funds are returned to the group. If it makes more sense to use them to enhance the experience while traveling, we do that instead. Every trip ends cleanly.
